Frequently asked
What providers usually ask, before and after the demo.
We answer honestly, even when the answer cuts against us. If you're missing a question, write to us — we'll add it.
Question, keyword, or topic — e.g. "Contract", "GDPR", "API".
How you start with Aldor — and how you leave.
6-
How long is the contract?
You pick monthly or yearly. Monthly cancels at the end of the month, yearly at the end of the term. No two-year minimum, no automatic one-year renewal, no hidden clauses.
-
What happens to my data when I cancel?
You get a complete export of all data as CSV plus a PDF archive of signed documents. We delete your data 30 days after contract end, unless you say otherwise. You can return without data loss until then.
-
Are prices net or gross?
All prices on the website are net, plus 19 % statutory VAT. Billing is based on active clients, not on the number of helpers.
-
Is onboarding charged extra?
No — a clear no. There's no setup fee, no implementation charge, no hidden onboarding cost — unlike many other vendors. Guided setup (master data, first helper invitation, first tour) is included in every tier; Pro adds an on-site session. You pay only the monthly plan price.
-
Is there a free trial?
Yes. 30 days with full functionality. You set Aldor up with your real clients and tours and decide afterwards. Billing only starts after the trial ends, and you can cancel any time — including during the trial.
-
Do I pay per employee or per user?
No. Aldor bills by active clients, not by headcount — helpers, dispatchers, and office staff carry no per-user surcharge. You pay only for the clients you actually serve.
§ 45b, payers, invoices.
4-
Does Aldor settle the Entlastungsbetrag under § 45b automatically — and can I see how much budget is left?
Yes. Aldor keeps a budget account per client — the Entlastungsbetrag under § 45b, the Umwandlungsanspruch under § 45a and Pflegesachleistung under § 36 are tracked separately. For every service you see at once how much is left in each pot, and unused Entlastungsbetrag carries over into the next year correctly. You never book against an empty pot by accident.
-
What happens when a Pflegekasse cuts or rejects an invoice?
Aldor models this cleanly. If a Pflegekasse pays only part or rejects a line, you record the shortfall; the invoice then shows as partially paid, the open remainder stays visible and moves into dunning or onto another payer. Corrections run through a Storno credit note, never by overwriting — the original invoice is preserved for audit.
-
A client has several payers — Pflegekasse, private share, Sozialamt. Can Aldor handle that?
Yes — for Alltagshilfen that is the normal case, and Aldor is built for it. A service can be split across several pots and payers: Pflegekasse via the Abtretungserklärung, the private share to the client, Sozialamt or Verhinderungspflege kept separate. Each recipient gets their own, correctly numbered invoice.
-
Can I set up my own invoice and email templates?
Yes. Invoice, email and export templates can be customised — you duplicate one of the supplied templates and change the text, salutation and fields. The system templates stay as a fallback, so you can't customise yourself into a corner.
Guided from day one.
4-
How long does setup take before we can really get going?
Often the same day. You create the account, invite your team and import your clients — a guided setup walks you through the rest step by step (master data, first helper, first tour). There is no weeks-long implementation phase and no mandatory appointment before you can start.
-
Do I get a fixed contact, or end up in a hotline?
A real person. Aldor is built by three founders — you write or call us directly, not a call centre that does not know the software. From the Pro plan up, an on-site visit is part of the setup.
-
Do my records from the old software have to be entered by hand?
No, not by hand. You give us your lists as they are — Excel, Word, an export from your old software, even messily formatted. Lotte reads the client data and creates it structured; you check the preview and confirm. If your onboarding takes longer than an hour, we handle the migration for you, free of charge in the first six months.
-
Is there training for my team?
Most teams don't need one — Aldor is built so helpers and dispatchers find their way without training. If you want more: a built-in help centre with short guides, and from the Pro plan up we train your team on site. Either way, we answer questions directly.
Your data is yours.
1-
Can I export data without cancelling?
Any time. Clients, helpers, tours, visit records, invoices — as CSV, as PDF, as JSON via the API. Your data is yours, not ours.
Where your data lives, who has access.
3-
Where is my data stored?
Hetzner Online GmbH, data centres in Nuremberg and Falkenstein. Both ISO-27001 certified. Data-processing agreement ready to sign, EU sub-processors named. Backups never leave Germany.
-
What is encrypted?
Client names, addresses, phone numbers, Pflegegrade, notes, signatures. Before they hit disk, with AES-256, per column.
-
Can I control who on the team sees which data?
Yes. Aldor works with roles: a helper sees only the clients and tours assigned to them, a dispatcher sees the schedule, the owner sees everything including billing and reports. Each role gets exactly the view it needs for the job — no more. Shared logins aren't needed and aren't allowed.
API, browsers, devices.
9-
Which browsers are supported?
Aldor runs in any modern browser — Safari, Chrome, Firefox, Edge. We test against the last two major versions. Internet Explorer is not supported.
-
Do I need to install a phone app?
No. Aldor runs in the phone browser, full functionality including offline storage. You can pin the icon to the home screen — looks like an app, is a website, no app-store approval required.
-
Does Aldor connect to my tax advisor?
Yes. Aldor exports payroll and bookkeeping in the DATEV format your tax advisor already uses. A Lexware export is available too. If your tax advisor wants their own connection, Aldor has a documented interface they can plug into.
-
Does Aldor work offline, e.g. on the road without coverage?
Yes, on the helper side. Tours, client data, services, and notes are loaded onto the device when the helper opens the app in the morning — after that everything keeps working without a network. Whatever gets entered on the road syncs automatically once coverage is back. In the office you need a connection; billing, Pflegekassen lists, and payroll export run server-side.
-
What if Aldor goes down? Is there an SLA?
Yes. Starter gets 99.5 % uptime (about 3.5 hours of unplanned downtime per month max), Pro and Max get 99.9 % (~45 min). If we miss it, we credit the pro-rated monthly fee automatically — you don't have to claim it. Maintenance windows are Sundays 03:00–05:00 and don't count as downtime. Status page at status.aldor.ai.
-
Does Aldor use AI? What is Lotte?
Lotte is the assistant inside Aldor. It suggests — a reassignment when someone's sick, a message to relatives, an anomaly on a tour — but it never decides on its own. Every suggestion shows what it's based on and can be dismissed with one click. Nothing changes automatically; you always keep your hand on the wheel.
-
Can I use Aldor across multiple locations?
Yes, on the Pro and Max plans. You run multiple sites with separate bookkeeping under one roof. On Starter you work with a single location; you can move up to a larger plan at any time.
-
How does Aldor prevent double bookings?
It can't arise in the first place. If two dispatchers save the same slot, Aldor accepts only the first booking and rejects the second with a clear note — enforced at the database level, not just a warning in the interface. The same goes for vehicles: a car can't be double-booked in the same time window.
-
Do I need my own servers, an IT department or special hardware?
No. Aldor runs in the browser — you need no server of your own, no IT department and no special hardware. A current computer or a smartphone with internet is enough. Operation, updates, backups and security run on our side, on German servers (Hetzner, Nuremberg).

Rather a real conversation?
Let's talk briefly.
Some questions are better answered in conversation — we'll take the time. You'll talk to one of the three founders, not to sales. Even if you don't buy in the end.
